Existing Reporting Process – On-site Daily Report

Existing Data Collection Process: HWPL was recording daily reports on spread sheet format in Microsoft Excel (“Daily Report Rev 0” ). Daily Report Rev 0 consisted of a workbook with three worksheets which were separately populated at the end of each working day. The three worksheets have been listed below.

  1. Worksheet 1: Titled “Daily Manpower List”
  2. Worksheet 2: Titled “Manpower Summary”
  3. Worksheet 3: Titled “Attendance List

The records in the individual worksheets were individually keyed in by HWPL’s site team. As the records in the three worksheets were not cross referred or extracted from a common data source, usually errors used to creep in. As the spreadsheet data was recorded in an ad hoc manner without any clear structure, it was quite difficult to combine with other daily reports for the same project or daily reports for other projects. HWPL’s representatives used to combine the various daily reports by copy-pasting the relevant cells to comply with the individual reports sought by HWPL’s client or HWPL’s senior management.

HWPL was also unable to extract meaningful insights from such disparate data. And by the time the data was cleaned, structured and analyzed; the opportunity window for management to credibly intervene was practically lost. If the said information could be presented to HWPL’s management in a real-time (almost) fashion, appropriate monitoring and control options may be deployed to mitigate the related cost and/or time overruns.

Brief note on Roboautal’s services extended: Roboautal and HWPL’s representatives collaborated and came-up with a revised daily report (“Daily Report Rev 1”). The daily report was formatted in simplified column and row format which may be relatively easier for HWPL’s site team to understand and populate. Additional metrics such as scope of work, activities were incorporated into the format to cross refer the daily resources to the corresponding work break down structure. The data was optimized to allow further integrations with related commercial and operational data sets.

At the end of the exercise, HWPL managed to conclude a “Daily Report” format which captures the entire activities and critical information from site in a contemporaneous manner. The said report was created in a modular format such that the same could be implemented for other contracts or projects for different engineering works. The daily reports were compiled and analyzed using Data Analytics with the critical insights being available to all the stakeholders on a daily basis.
